NES Fircroft is currently recruiting a Filing Clerk / Document Controller for a leading offshore energy and engineering project in Singapore.
The Filing Clerk will be responsible for supporting project teams with the management, control, registration, tracking, and archiving of technical and contractual documentation throughout the project lifecycle. This role will ensure documentation is maintained in accordance with project procedures, document management requirements, and established quality standards while supporting communication between project stakeholders, subcontractors, suppliers, and clients.
Eligibility: Applicants must have existing and unrestricted rights to work in Singapore. No work pass sponsorship is available for this position.

The Filing Clerk will be responsible for supporting project teams with the management, control, registration, tracking, and archiving of technical and contractual documentation throughout the project lifecycle. This role will ensure documentation is maintained in accordance with project procedures, document management requirements, and established quality standards while supporting communication between project stakeholders, subcontractors, suppliers, and clients.

Key Responsibilities
- Manage and maintain technical and contractual documentation throughout the project lifecycle.
- Execute document control activities using Electronic Document Management Systems (EDMS) and other project control tools.
- Support the registration, tracking, distribution, filing, and archiving of project documentation.
- Coordinate document workflows involving project teams, subcontractors, suppliers, and client representatives.
- Organize and maintain document control processes to ensure consistency, traceability, and compliance with project requirements.
- Control and maintain records of project correspondence, including emails, letters, notifications, meeting minutes, reports, and other contractual records.
- Monitor the issuance, revision, and transmittal of technical documents, queries, and project deliverables.
- Support document expediting activities to ensure timely review, approval, and distribution of project documentation.
- Coordinate meetings related to document management and support the standardization of documentation processes.
- Maintain accurate records of project communications and contractual documentation throughout the duration of the project.
- Interface with local and international suppliers regarding documentation requirements and submissions.
- Support project teams in preparing reports and maintaining documentation registers.
- Ensure compliance with document management procedures and project filing requirements.
- Perform other administrative and document control duties as assigned.
Requirements
- High School Diploma, Technical Certificate, or equivalent qualification.
- Minimum 5 years of experience in document control, filing, records management, or technical documentation within the Oil & Gas, Offshore, Energy, EPC, Marine, or Heavy Industrial sectors.
- Experience managing technical and contractual documentation within project environments.
- Familiarity with Electronic Document Management Systems (EDMS) and document control platforms.
- Proficiency in Microsoft Office 365 applications, including Word, Excel, Outlook, and SharePoint.
- Experience maintaining document registers, document transmittals, correspondence logs, and project records.
- Ability to manage large volumes of documentation while maintaining accuracy and attention to detail.
- Experience communicating with suppliers, subcontractors, and project stakeholders would be advantageous.
- Strong written and verbal communication skills in English.
