Position Title: JS.NCV.034 IECMS E-Filing Officer CC4
Grade: NJS 05
The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of IECMS E-Filing Officer CC4 within the National Court Civil division based in Waigani.
Role Overview:
The Electronic Filing Officer plays a crucial role in the National Court Registry by managing the electronic documentation system, ensuring that digital records are accurately and efficiently maintained in parallel with physical documents. This position is pivotal in facilitating the transition towards a more modernized and accessible digital court record system, enhancing the efficiency of case management and supporting the judicial process.

Key Responsibilities
- Scan, upload, and index court documents into the electronic case management system daily, ensuring accuracy and completeness.
- Conduct regular audits of electronic records against physical files to verify accuracy, completeness, and ensure no document is left unrecorded.
- Maintain an up-to-date electronic filing system, making adjustments and updates to documents as changes occur or additional information is provided.
- Work closely with IT and registry staff to troubleshoot and resolve any technical issues related to the electronic filing and case management systems.
- Train and support court staff and users on how to efficiently use the electronic filing system, including creating user guides and instructional materials.
- Collaborate with the registry management to develop and implement policies and procedures for managing electronic records effectively.
- Participate in digital transformation projects within the registry to improve electronic document management and accessibility.
- Ensure the security and confidentiality of digital records by adhering to data protection laws and implementing best practices in information security.
- Prepare and provide reports on the status of electronic filings, system usage, and document integrity to the Deputy Registrar and other relevant stakeholders.
- Stay informed about advancements in electronic document management technologies and propose improvements to enhance the registry's digital capabilities.
- Educational qualifications: Certificate in Information Technology, Business Management or related fields.
- Experience: 2 years’ experience in document management or electronic filing systems especially in court registries.
- Knowledge and Skills: Sound knowledge of Court Registry operations, practices, procedures and protocols.
- Knowledge and Skills: Track record in administration and management of court files.
- Personal Qualities: Computer skills, including proficiency in document management software and Microsoft Office Suite.
- Personal Qualities: Good communication and interpersonal skills to interact effectively with court staff and users.
- Educational Qualifications: An Advanced Diploma in Court Administration would be an advantage.
- Experience: Must have a track record of successful e-file management and data processing experiences.
