Position Title: JS.REG.004 Executive Assistant
Grade: NJS 10

The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of Executive Assistant within the Registry division based in Waigani.

Role Overview:

As a key member of the Registrar’s Office, the Executive Assistant provides high-level administrative support to the Registrar of the Supreme and National Courts. The role manages the Registrar’s schedule, communications, meetings, documentation, travel arrangements, office coordination, and stakeholder engagement to ensure efficient day-to-day workflow.

Key Responsibilities
  • Manage the Registrar’s diary and schedule to optimise time and commitments.
  • Handle incoming and outgoing communications on behalf of the Registrar.
  • Prepare and manage correspondence, reports, presentations, and documents with accuracy and confidentiality.
  • Coordinate meetings and events, including agendas, minutes, logistics, and follow-up actions.
  • Maintain organised digital and physical filing systems for efficient access and retrieval.
  • Liaise with internal and external stakeholders to facilitate effective communication and operations.
  • Support the Registrar with projects, presentations, and other executive requirements.
  • Plan and manage business travel itineraries, flights, accommodation, and scheduling.
  • Prepare regular reports on activities, filings, and case progress for review.
  • Perform other related duties as assigned in support of the Registrar.
Required Qualifications and Experience
  • Diploma in Legal Studies or equivalent.
  • Strong administrative, document management, communication, coordination, and confidentiality capabilities.
Preferred
  • Relevant experience in an administrative or secretarial role, preferably within a legal or court environment.
This role requires discretion, sound judgement, strong organisation, and the ability to coordinate multiple priorities while maintaining the confidentiality and integrity expected of the Registrar’s Office.
