Position Title: JS.SAM.007 Administrative Assistant
Grade: NJS 06
The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of Administrative Assistant within the Sheriff unit based in Waigani.
Role Overview:
The Administrative Assistant is a foundational support role within the Sheriff Divison, directly assisting the Deputy Sheriff in daily operational tasks. The Administrative Assistant maintains the smooth execution of administrative functions by facilitating internal communication, manages routine schedules, and supports record maintenance. This position embodies the unit’s commitment to integrity and efficiency, ensuring the foundational processes that uphold the division's standards are executed flawlessly.

Key Responsibilities
- Provide direct administrative support to the Deputy Sheriff Security, including document preparation, filing, and scheduling.
- Maintain accurate and organized files, both digital and paper, for easy access and reference.
- Assist in the coordination and scheduling of meetings, including room bookings, attendee notifications, and material preparation.
- Manage incoming and outgoing correspondence, ensuring timely distribution and response.
- Support the maintenance of the unit’s calendar, coordinating appointments and reminders.
- Participate in the preparation of reports and presentations for divisional meetings and external communications.
- Provide logistical support for unit events, including venue setup and participant management.
- Assist with budget tracking and expense reporting as directed by the Deputy Sheriff Security.
- Serve as a point of contact for general inquiries, directing them to appropriate personnel.
- Perform other administrative tasks as required, contributing to the overall objectives of the unit.
- Diploma in legal studies or equivalent.
- Minimum of 3 years of experience in an administrative support role, preferably within a government or legal setting.
- General knowledge of office administration and procedures.
- Working knowledge of record-keeping techniques, and thorough knowledge of Microsoft Office Suite.
- Organizational and time management skills.
- Effective communication skills.
- Detail-oriented.
- Proficiency in office software, and ability to multitask.

- Advance Diploma in office management or a related field.
- 3 years or more experience in record-keeping and event coordination.
