LEMS Administrator / Field Data Specialist Job Description Overview The LEMS Administrator is responsible for ensuring the accuracy, completeness, and integrity of all daily field data submitted by contractors, including labor, equipment, materials, and subcontractor documentation. This role supports cost control, project controls, and construction teams by validating field inputs, enforcing standards, maintaining master data, and ensuring proper integration with project reporting and financial systems.

LEMS Administrator / Field Data Specialist Job Description Overview The LEMS Administrator is responsible for ensuring the accuracy, completeness, and integrity of all daily field data submitted by contractors, including labor, equipment, materials, and subcontractor documentation. This role supports cost control, project controls, and construction teams by validating field inputs, enforcing standards, maintaining master data, and ensuring proper integration with project reporting and financial systems.
Key Responsibilities LEMS Data Collection & Validation
- Collect, review, and validate daily LEMS tickets, including labor timesheets, equipment hours, material issues/receipts, and subcontractor dockets.
- Ensure alignment with WBS, CBS/cost codes, activity IDs, cost types, and contract structures.
- Confirm that charges comply with contract rates, markups, thresholds, standby rules, shift premiums, and charge‑out policies.
- Cross-check LEMS entries against crew sheets, equipment logs, materials delivery notes (MIRs), and subcontractor daily reports.
- Investigate and resolve discrepancies in collaboration with construction managers and coordinators.
- Enforce naming conventions, coding practices, and data quality standards.
- Track changes, extra work, T&M documentation, and site instructions.
- Maintain master data, including cost codes, resources, equipment lists, materials catalogs, and subcontractor accounts, in coordination with Project Controls and Accounting.
- Implement audit trails and support document control requirements for all LEMS artifacts.
- Assist with internal and external audits by providing accurate and well-organized records.
- Interface validated LEMS data with cost reports, earned value calculations, and progress curves.
- Support accruals, committed cost tracking, and month‑end cutoffs.
- Identify and escalate cost variances, quantity overruns, and unapproved scope consumption.
- Produce daily and weekly dashboards, including metrics such as:
- Crew and discipline labor hours
- Equipment utilization
- Materials consumption
- Subcontractor performance
- Missing or late tickets and exception logs
- Provide lookbacks, trends, and insights supporting productivity analysis and continuous improvement.
- Assist in forecasting resource needs based on performance trends and remaining scope.
- Act as the primary point of contact for all LEMS‑related inquiries.
- Train foremen, superintendents, subcontractors, and administrative staff on LEMS tools, processes, and standards.
- Diploma or degree in Business, Accounting, Engineering, Construction Management, or a related field (equivalent experience will be considered).
- 3–5+ years of experience in project controls, field administration, cost control, or commercial administration on construction or industrial projects.
- Experience with LEMS or similar field data capture platforms, ERP/cost systems, and subcontract administration.
- Strong proficiency in Excel (pivot tables, VLOOKUP/XLOOKUP, data validation).
- Familiarity with Power BI or similar reporting/visualization tools.
- Working knowledge of ERP/cost systems such as SAP, Oracle, or JD Edwards, as well as timesheet, equipment management, and materials/inventory systems.
- Understanding of WBS/CBS structures, earned value principles, coding standards, and contract rate tables.
- Asset: Knowledge of union agreements, shift differentials, and T&M processes.
