Logistics Coordinator – Capital Projects (Oil & Gas) Position Title Logistics Coordinator – Capital Projects
Position Summary The Logistics Coordinator – Capital Projects is responsible for planning, coordinating, and executing the movement of materials, equipment, and project cargo in support of oil and gas capital projects, turnarounds, maintenance events, and construction activities. This role serves as a key liaison between Procurement, Project Controls, Engineering, Construction, Suppliers, Freight Forwarders, Customs Brokers, and Operations to ensure critical materials arrive safely, on schedule, and within budget.
The successful candidate will have experience in domestic and international logistics, import/export compliance, material tracking, and Harmonized Tariff Schedule (HTS) code classification for project materials and equipment. The position plays a critical role in minimizing supply chain risks and supporting successful project execution.

This role serves as a key liaison between Procurement, Project Controls, Engineering, Construction, Suppliers, Freight Forwarders, Customs Brokers, and Operations to ensure critical materials arrive safely, on schedule, and within budget.

Key Responsibilities Logistics & Transportation Coordination
- Coordinate the transportation and delivery of project materials, equipment, fabricated components, and project cargo for capital projects and turnaround events.
- Develop and maintain logistics plans aligned with project schedules and construction milestones.
- Coordinate domestic and international shipments utilizing truck, rail, air freight, ocean freight, heavy-haul transportation, and specialty carriers.
- Track shipments from supplier origin through final delivery to job sites, fabrication shops, warehouses, and operating facilities.
- Monitor transportation performance and proactively address delays, disruptions, and logistics challenges.
- Coordinate oversized and over-dimensional shipments, including required permits and route planning.
- Collaborate with Procurement, Engineering, Project Controls, Construction, and Operations teams to ensure materials are available to support project schedules.
- Maintain project material status reports and communicate delivery updates to project stakeholders.
- Identify and mitigate logistics risks that may impact project execution, startup dates, or turnaround schedules.
- Support project cost control efforts by monitoring freight, transportation, storage, and logistics expenditures.
- Assist with logistics forecasting and planning for major equipment deliveries and construction activities.
- Classify imported equipment, materials, and spare parts using appropriate Harmonized Tariff Schedule (HTS) codes.
- Coordinate with customs brokers, freight forwarders, and suppliers to ensure accurate customs declarations and import documentation.
- Review commercial invoices, packing lists, certificates of origin, and shipping documentation for compliance and accuracy.
- Support import/export compliance activities in accordance with U.S. Customs and Border Protection requirements and applicable international trade regulations.
- Maintain records related to HTS classifications, customs filings, duties, tariffs, and import/export transactions.
- Ensure project materials are properly classified to minimize customs delays and support duty optimization strategies.
- Coordinate receiving, warehousing, storage, and inventory activities for project materials and equipment.
- Maintain visibility of material status, inventory levels, and site deliveries.
- Ensure material receipt discrepancies, damage claims, and shipment exceptions are resolved promptly.
- Support material management systems and inventory tracking processes.
- Prepare logistics performance reports and shipment status updates for project leadership.
- Analyze freight costs and logistics performance metrics to identify cost reduction opportunities.
- Develop and implement best practices to improve logistics efficiency and supply chain reliability.
- Support audits and compliance reviews related to transportation and import/export activities.
- Bachelor's degree in Supply Chain Management, Logistics, Business, Engineering, Construction Management, or related field preferred.
- Minimum 3–7 years of experience in logistics, supply chain, materials management, or project procurement within the oil and gas, petrochemical, refining, LNG, pipeline, or energy industries.
- Experience supporting capital projects, facility expansions, major maintenance events, or turnarounds.
- Working knowledge of domestic and international freight operations.
- Experience with HTS code classification, customs documentation, import/export compliance, and international trade regulations.
- Proficiency with Microsoft Office Suite, particularly Excel.
- Experience with ERP systems such as SAP, Oracle, Maximo, or similar supply chain systems.
- Strong organizational, analytical, and problem-solving skills.
- Experience supporting EPC, EPCM, refinery, petrochemical, upstream, midstream, or downstream capital projects.
- Knowledge of U.S. Customs regulations, duty drawback programs, and international trade compliance.
- Certification in Supply Chain, Logistics, or Trade Compliance (APICS, CLTD, CSCMP, etc.).
- Experience managing logistics for large industrial equipment, pressure vessels, compressors, pumps, turbines, modules, and fabricated steel components.
- Familiarity with project material management and construction planning processes.
