Role Overview

We are seeking a Maintenance Interface Project Coordinator to support an Oil & Gas client on a long-term assignment in Milan. The role focuses on maintenance-project coordination and interface management, ensuring alignment across multiple stakeholders (client teams, contractors, engineering/project functions, and maintenance teams) to deliver maintenance-related activities safely, on schedule, and to the required standards. Key Responsibilities
  • Coordinate maintenance project activities and ensure smooth execution across disciplines and stakeholders.
  • Act as the primary point of contact for interfaces between maintenance, operations, project teams, engineering, and external contractors/vendors.
  • Develop and maintain interface registers, action trackers, and coordination plans to ensure responsibilities and deliverables are clear.
  • Facilitate and chair coordination meetings (maintenance interface meetings, planning reviews, readiness/constraint reviews) and issue minutes/actions.
  • Support planning and alignment of work scopes, priorities, schedules, and shutdown/turnaround constraints where applicable.
  • Monitor progress against milestones, highlight risks/issues early, and drive closure of actions.
  • Ensure coordination activities comply with applicable HSE and site rules, including permit-to-work / access constraints as required by the client.
  • Maintain accurate reporting and documentation, ensuring key decisions and changes are captured and communicated.

Mandatory Requirements
  • Previous experience in the Oil & Gas industry
  • Experience in maintenance projects (site-based maintenance execution and/or maintenance project coordination)
  • Strong coordination and interface management capability, with proven experience handling multiple stakeholders

Desired / Advantageous
  • Experience working directly from client offices / integrated teams
  • Strong reporting, tracking, and documentation discipline (actions, risks, interfaces, deliverables)
  • Ability to work in a structured, fast-paced environment with competing priorities
