Job Title: Project Management Coordinator
Location: Montreal, QC
Length: 1 Year (with potential extension)
Rotation: 5 days on / 2 days off
Role Summary
Provides project coordination and administrative support to the PLM Digital Transformation Program. Assists with planning, execution, tracking, and reporting activities across multiple workstreams. Supports project governance, stakeholder communication, and documentation management while gaining hands-on experience in enterprise system implementation and cross-functional collaboration.

Goals & Objectives
- Support effective planning, coordination, and execution of PLM implementation initiatives
- Strengthen project visibility through accurate tracking, reporting, and documentation
- Enable on-time delivery of milestones by supporting risk, issue, and dependency management
- Gain practical experience in Agile, Hybrid, and Waterfall project methodologies within a complex enterprise program
- Contribute to continuous improvement of project processes, templates, and tools
Key Deliverables
- Updated project plans, schedules, and milestone tracking artifacts
- Weekly and monthly project status reports and dashboards
- Maintained RAID logs (Risks, Actions, Issues, Dependencies)
- Meeting minutes, action item logs, and decision records
- Stakeholder communication materials including presentations and summaries
- Documented processes, templates, and lessons learned for the PLM360 program
- Support materials for governance reviews and steering committee meetings
Key Responsibilities
Project Planning & Tracking
- Assist in maintaining integrated project schedules and work plans
- Track progress of tasks, milestones, and deliverables across workstreams
- Support effort estimation, dependency identification, and resource coordination
- Monitor project performance indicators and escalate variances as required
- Prepare status reports, dashboards, and executive summaries
- Maintain RAID logs and track mitigation actions
- Support governance meetings, tollgates, and project reviews
- Ensure adherence to PMO standards, templates, and documentation requirements
Coordination & Communication
- Coordinate meetings, workshops, and working sessions
- Capture meeting minutes and track action item completion
- Facilitate communication between business teams, IT, vendors, and external stakeholders
- Support stakeholder readiness and change management activities
Documentation & Process Support
- Maintain project repositories (SharePoint, PLM360, or similar tools)
- Assist in documenting requirements, processes, and workflows
- Support development and improvement of templates and project tools
- Contribute to lessons learned and continuous improvement initiatives
Qualifications
- Currently enrolled in a Graduate Program in Project Management, Engineering, Business, or a related field
- Strong interest in enterprise systems, Product Lifecycle Management, or digital transformation programs
- Working knowledge of project management fundamentals (scope, schedule, cost, risk)
- Proficiency in Microsoft Office (Excel, PowerPoint, Word); familiarity with project tools such as Jira is an asset
- Strong analytical, organizational, and communication skills
- Ability to work effectively in a collaborative, cross-functional environment
Preferred Skills / Assets
- Exposure to Product Lifecycle Management systems (e.g., Teamcenter or similar)
- Familiarity with Agile, Waterfall, or Hybrid delivery approaches
- Experience with tools such as MS Project, Jira, Smartsheet, or Power BI
- Strong attention to detail with the ability to manage multiple priorities
