Rail Maintenance Coordinator
Location: Houston, TX
Schedule: Full-Time, Onsite (5 Days per Week)
Rate: 30-35/hr
Duration: 1 year contract (extension highly likely)


Overview We are seeking a detail-oriented Rail Maintenance Coordinator to support rail fleet maintenance operations and serve as the key liaison between rail repair facilities, leasing companies, service vendors, and internal stakeholders. This role is ideal for candidates with rail, transportation, fleet maintenance, logistics, or supply chain experience who enjoy managing data, coordinating multiple parties, and maintaining accurate operational records.

Key Responsibilities
  • Coordinate rail car maintenance shop visits from initiation through completion.
  • Review, track, and manage repair estimates, invoices, and maintenance records.
  • Serve as the primary point of contact between repair shops, vendors, leasing companies, and internal teams.
  • Submit and monitor daily shop requests through rail maintenance platforms.
  • Maintain accurate transportation and maintenance data within the Transportation Management System (TMS).
  • Track rail car diversions, status updates, and routing changes.
  • Support annual compliance and inspection programs for rail equipment.
  • Update and monitor mandatory rail car testing and inspection records.
  • Process and communicate maintenance documentation, invoices, and repair approvals.
  • Generate daily and periodic reports related to fleet maintenance activities.
  • Coordinate off-lease rail car activity and ensure timely system updates.
  • Identify opportunities for process improvements and increased operational efficiency.
Required Qualifications
  • High school diploma or equivalent.
  • 2+ years of experience in rail logistics, transportation operations, fleet maintenance, or a related field.
  • Working knowledge of Transportation Management Systems (TMS) or similar tracking systems.
  • Strong Microsoft Office skills, particularly Excel, Word, and Outlook.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Self-motivated with the ability to work independently and collaboratively.
  • Ability to build effective relationships with vendors, repair facilities, and internal stakeholders.
Preferred Qualifications
  • Experience with rail maintenance platforms such as MyGATX or LinkNet.
  • Familiarity with SAP or other ERP systems.
  • Experience in rail fleet maintenance, rail leasing, rail coordination, or fleet maintenance operations.
  • Knowledge of rail car inspections, testing requirements, and maintenance processes.
  • Experience processing repair estimates and maintenance documentation.
  • Associate's or Bachelor's degree in Supply Chain, Transportation, Business, or a related field.
