We are recruiting for a Site Administrator to join our Global Oil and Gas EPC client on a 2:1 roster, either FIFO or residential to Karratha. This role is responsible for coordinating mobilisation and travel activities, maintaining accurate workforce and project records, and supporting day-to-day site operations.

Duties:
- Coordinate mobilisation and demobilisation of personnel, including collection and verification of compliance documentation, site access requirements, inductions, and onboarding processes.
- Maintain workforce rosters and personnel records, ensuring accuracy and currency of information.
- Book and manage flights, accommodation, and ground transport for site personnel in accordance with company and project travel policies.
- Monitor travel changes, delays, and amendments, ensuring timely communication with relevant stakeholders.
- Reconcile travel bookings and maintain accurate travel and mobilisation tracking logs.
- Provide daily administrative support to Construction or Commissioning teams.
- Prepare, format, and distribute reports, registers, meeting minutes, and other project documentation as required.
- Manage site office operations, including office supplies, equipment, and general administrative logistics.
- Support procurement and contracts activities through data entry, document preparation, and coordination with suppliers as required.
- Maintain confidentiality of personnel, commercial, and project information at all times.
- Update and maintain project registers, including safety, quality and compliance-related documentation.
- Ensure documents are filed, version-controlled, and accessible in accordance with project governance and document control procedures.
- Assist with onboarding and offboarding processes, timesheet checks, and general compliance administration.
- Proven ability to work independently with minimal supervision.
- High level of organisation, accuracy, and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Ability to maintain professionalism in a fast-paced construction or project environment.
- Demonstrated ability to work collaboratively as part of a team.
- High school diploma with a minimum of 3 years’ relevant administrative experience.
