We are working with our oil and gas client, seeking a Support Officer for an initial 6-month contract with possible extension. This role will provide administrative, coordination and information management support to facilitate participation in the statutory review of its operations. The position will support the Strategic Communications and Engagement Directorate, which is responsible for coordinating engagement with the review, and will assist review working groups and subject matter experts across the organisation. The role is primarily focused on document management, correspondence coordination, meeting administration, records management and other routine administrative activities required to support the efficient and timely delivery of review related work.

Key Responsibilities:
  • Assisting with the administration and coordination of review activities across the company, monitoring and maintaining review schedules, action registers and tracking tools, and supporting the collection, collation and formatting of information from multiple sources and documentation requested by review teams.
  • Planning and prioritising own work within agreed timeframes, coordinating review administration activities, resolving scheduling conflicts, and anticipating upcoming deadlines.
  • Using discretion in applying established procedures. Identifying and escalating risks to deadlines, document quality, or records compliance.
  • Assisting with the preparation of briefing materials, meeting papers and review submissions.
  • Establishing and maintaining electronic filing systems for collection of review documentation, including managing version control and document registers to enable retrieving, organising and archiving information and supporting evidence.
  • Coordinating incoming and outgoing correspondence associated with the review, including drafting routine emails, meeting requests and administrative communications, maintaining and tracking correspondence records and distribution lists.
  • Scheduling meetings and events to support the review function, including booking and setting up meeting rooms, preparing agendas, meeting papers and presentations recording minutes, outcomes and actions.
  • Liaising with review working groups, subject matter experts, Directorate staff and external review contacts to resolve routine administrative issues and follow up actions.
  • Providing general administrative support to the Strategic Communications and Engagement Directorate, including assisting with diary coordination, committee and advisory board support, and procurement activities where required.
  • Identifying practical improvements to administrative processes, templates, registers, and document management practices to assist the review activities.
  • Complying with business policies and processes, including financial, communication, information and human resources practices, and the Australian Public Service Values, Code of Conduct and Employment Principles.
Experience Required:
  • Demonstrated administrative experience in a corporate, government or regulatory environment, including the use of records management systems and information governance practices.
  • Demonstrated experience providing administrative support, including preparing agendas and papers, coordinating meetings, taking minutes, and supporting decision-making processes.
  • Ability to build productive relationships and work collaboratively with internal and external stakeholders across all levels of an organisation to follow up actions, clarify requirements, and support timely outcomes.
