Essential Job Responsibilities Recruiting Operations & Coordination

- Partner with Sourcers, Recruiters, and Hiring Managers to support full-cycle requisition administration, including job postings, candidate tracking, interview logistics, and invoice processing
- Manage high-volume, complex interview scheduling (virtual, phone, and onsite), coordinating across multiple calendars, time zones, and stakeholder groups
- Coordinate candidate travel, lodging, onsite interview logistics, expense tracking, and reimbursements
- Prepare and distribute interview schedules, interview guides, and candidate materials ahead of interviews
- Support post-interview workflows by facilitating debriefs, collecting interview feedback, and ensuring timely candidate dispositioning
- Serve as a primary point of contact for candidates, delivering a professional, responsive, and engaging experience
- Provide proactive communication and status updates throughout the hiring process
- Host and greet candidates during onsite interviews, as applicable
- Partner with Sourcers and Recruiters to maintain accurate, complete, and compliant candidate and requisition data within the Applicant Tracking System (Workday)
- Post roles internally and externally and configure screening questions as requested
- Track interview documentation, offers, and hiring approvals in the ATS
- Ensure recruiting activities align with employment laws, data privacy requirements, and company policies
- Generate and maintain recruiting reports to support recruiter productivity, pipeline visibility, and hiring outcomes
- Audit ATS and HR system data for accuracy and completeness; identify inconsistencies and recommend corrective actions
- Use Excel (pivot tables, formulas, lookups, charts) to analyze recruiting and staffing data
- Partner with HR Analytics or HRIS teams on dashboards and recurring reporting initiatives, as needed
- Collaborate with HR Operations and Onboarding to support pre-employment processes, including background checks, drug screens, and reference checks
- Assist with onboarding coordination and new hire readiness in collaboration with HR, IT, and Payroll
- Provide support for recruiting events, career fairs, university recruiting, and internal hiring initiatives
- Support University Relations Coordinators or Recruiting Operations team members during peak hiring periods
- Strong customer focus and candidate advocacy

- High School Diploma or GED required
- 3+ years of experience in recruiting coordination, HR operations, or talent acquisition support within a corporate environment
- Proficiency in Microsoft Office (advanced Excel, Outlook, Word, PowerPoint)
- Experience with an Applicant Tracking System; Workday preferred
- Proven ability to manage multiple priorities in a fast-paced, high-volume environment
- Strong customer service orientation with the ability to interact professionally with candidates, executives, and cross-functional partners
- Bachelor’s degree in Human Resources or a related field
- Exposure to recruiting analytics, reporting, or workforce data
- Experience supporting corporate, professional, or campus recruiting programs
- Familiarity with compliance requirements, audit processes, or regulated environments
- Experience supporting hybrid or geographically distributed hiring teams
- Proactive, resourceful self-starter who anticipates needs and addresses issues before escalation
- Comfortable working independently while supporting multiple recruiters and stakeholders
- Performs effectively under deadlines and changing priorities while maintaining accuracy and professionalism
- Demonstrates a strong work ethic and commitment to operational excellence
