Job Title: Assistant, Field Administration
Location: North Vancouver, BC
Length: 6 Month Contract
Rotation: Mon-Fri 7.5 hours a day
Description:
Responsibilities will include but not be limited to:
  • Maintain the front reception desk, greet guests, answer inquiries and forward to appropriate office contact.
  • Administer typical reception duties, such as arranging couriers, sending faxes, opening and distributing mail, etc.
  • Distribute and maintain electronic emails related to Visitor and Contractor Lists and Duty On-Call schedule.
  • Add all employees schedule for the year into Teams Shift and keep track of vacation days for the site. 
  • Maintain safety work permit records; 
  • Maintain site safety orientation database.
  • Perform minor financial administration tasks such as statement reconciliations, review taxi/hotel slips/invoices, new vendor setup, and procurement activities.
  • Maintain PPE cabinet and distribute to visitors.
  • Record minutes taking for meetings and variances from Safety meetings and distribute to the correct department.
  • Maintain department files including on call lists, staff directories, etc.
  • Coordinate office services, such as catering, and office equipment maintenance, birthday cakes etc.
  • Maintain and order office and coffee supplies.
  • Coordinate and book meeting rooms.
  • Maintain Admin binder documentation.
  • Organize Iron Mountain documentation and delivery to storage.
  • Assist and minute take for the fundraiser. Assist with the planning and contacting customers for auction items. 
  • Support Ops team with data entry into traffic for unloading and loadout of trucks
  • Updating rail and vessel spreadsheets.
  • Unload and mark out Sulphur and Agri rail on site.
  • Assist Ops Managers with training for foremen and supers, maintain records.
  • Support employees to get the correct paperwork to order prescription eyewear from eye safe.
  • Support supervisor as required.
  • Provide backup administrative support for vacation/sick relief as needed.
  • Continually seek opportunities to improve efficiency & productivity of processes or systems.
  • Other projects as directed by the supervisors; and
  • Participate and support an equitable, diverse, and inclusive workplace.
