DOCUMENT CONTROL COORDINATOR

(The service is based in France, Paris area, in the Subsea EPCI premises)

MISSIONS / SERVICE OVERVIEW
Document Control Coordinator services is in charge of managing all the technical and contract information of the Project (technical documentation, interfaces, technical queries, Deviation requests, MOM, reports, communications, etc.). The services will promote the use of the Document Management system within the team and shall interface, internally, with the technical teams (engineering, quality, interfaces) and with the document control coordinators of CONTRACTOR teams.

SERVICES ACTIVITIES
Main services activities:
  • Services of Document Controller of the Company Project, based in Paris with the engineering team.
  • In line with the Group Standards, ensure the Electronic Data Management System is properly working within the Project and implement the software means to achieve high standard quality electronic information storage.
  • Define and implement the storage workflow of every validated document. Ensure this workflow to make any document available to every user, as per matrix of distribution.
  • Matrix of distribution to be kept up to date, implementing any new document, in conjunction with the Technical requirements (Engineering manager, quality leader, interface leader, etc.).
  • Ensure the required support to users in order the document review is done in due time.
  • Ensure specific trainings (new modules, new versions, etc.) for any user and for new comers, with the support, whenever required, of the New Prodom support Team (from HQs).
  • Lead the exchanges with the Contractors, subcontractors and suppliers, whenever required, to ensure compliance with the DCC procedures and EMDS use.
  • Have a proactive attitude towards the information issuers in order to prepare the recovery/circulation of the information.
  • Monitor progress/deviations of Contractors performance and alert Project Team.
  • Have an interface with the Planning & Reporting Engineer for reporting support.
  • Issue a regular (weekly) reporting (KPIs as per requirement from Project Management) and issue the inputs for the Monthly Report.
  • Ensure interface with the Company project team Document Control Coordinator.
  • In relationship with the IT Department, define and implement the Asset Data set backup strategy. Control that the regular backups are correctly done.
  • Work proactively to extend the good practices of the Document Management to all teams and new members.


CONTEXT & ENVIRONMENT
The services is part of the Company subsea EPCI project team. The team is split on two main locations:
  • Company’s office in Rio de Janeiro, Brazil, and EPCI contractor office located in the Paris area, France.
  • The services reports to the Engineering Manager (technically) and to the Project Control leader (functionally).
  • No direct report.
  • Regular interface with the NPI Department document controller, reporting and review shall also be organized with headquarters Company experts.

DURATION / LOCATION
  • Duration: 12 months, renewable (x2).
  • Location: France, EPCI contractor office, Paris area.
  • Status: residential

QUALIFICATIONS & EXPERIENCE REQUIRED
  • Education: Technician or equivalent.
  • Professional experience: Experience in Oil & Gas business: successful Doc Controller services on an EPCI Project.
  • Technical competencies: Excellent knowledge of Electronic Document Management System (EDMS).
  • Expertise of New ProDom (PIMS) and Company Referential (CR EP PJC 004, GS EP PJC 701, GS EP PJC 702, GM EP EXP 044).
  • Advanced knowledge of data processing (preferably access) to generate statistics, KPIs relative to DCC process
  • Behavioural competencies: Rigorous, clear organization capacities, good communication skills, networking.
  • Autonomy in work organization, high pro-activity.
  • Other competencies: Proficient in English.
  • English is used throughout the project. French language is an advantage
