POSITION OVERVIEW:
 
The Martinez Refinery has a full-time contracted opening for a Construction Project Controls Administrator, a position which reports to the Project Controls Supervisor.  The Project Controls Administrators main job responsibilities are to provide systems support to the Turnaround and Construction supervisor and Project Controls Supervisor.  Position responsibilities will be dynamic as site workload shifts between normal execution and turnaround events.    
 
KEY RESPONSIBILITIES:
  • Serves as a focal person to manage administrative tasks for the maintenance department.
  • Collaborates with Work List coordinator for maintain marathon specific worklist management system ITAR/ICON.
  • Provides support to assure accuracy of invoices and contractor adherence to contract terms and conditions. Reviews contractor timesheets and invoices. Identifies and resolves discrepancies. Reviews Purchase Order limit adjustment requests as needed to support current invoicing.
  • Supports monthly cash flow forecasting. Works with Project Controls to integrate actual work-in-place with the expected invoice timing. Performs project accounting month-end close out. Prepares various financial reports, accruals, and cost control worksheets utilizing SAP data. Performs project cost reconciliation and variance analysis.
  • Assures consistent compliance by project engineers and contractors with established accounting procedures. Provides consistent guidance and assistance for both Tesoro and contract engineering resources in terms of requisition development & approval, account assignments, pro-rating of capital expenditures to the active AFEs, and correct settlement of charges against various AFE types in accordance with corporate policy.
  • Maintains Project documentation database to ensure control and availability of documentation to personnel; system includes all incoming/outgoing distribution of all review/construction packages, engineering project drawings, project documentation, punch packages and commissioning systems, etc

REQUIRED QUALIFICATIONS:
 
  • Minimum high school graduate or GED required.
  • AA Degree in accounting, finance, business administration or related discipline preferred.
  • Proficiency in Microsoft Office.
  • Excellent communication skills & problem-solving skills.
 
DESIRED QUALIFICATIONS:
 
  • Experience with SAP, Oracle, or equivalent ERP system
  • Planning and scheduling experience
