We are working with Woodside Energy, recruiting for a management assistant to join them on an initial 6-month contract with the possibility of extension. As Management Assistant to the VP NWS, you’ll play a key role in supporting the leadership team and driving operational efficiency across the business unit. You’ll lead the NWS admin team, coordinate improvement initiatives, and ensure seamless execution of administrative processes, all while aligning with broader business objectives.

Duties and Responsibilities:
  • Provide high-level calendar, email, and travel coordination for the VP NWS, ensuring smooth day-to-day operations.
  • Organise and support meetings, workshops, and events, including logistics, agendas, and materials.
  • Manage onboarding for new team members and support HR-related activities such as performance and development tracking.
  • Oversee document and information management systems, ensuring accessibility and compliance.
  • Process expenses, approvals, and general administrative tasks with accuracy and efficiency.
  • Act as a key liaison across teams, supporting communication, process improvements, and business priorities.
Skills and Experience:
  • Proven ability to work independently with integrity and discretion.
  • Strong organisational and communication skills.
  • Confident engaging with a wide range of internal and external stakeholders.
  • Proficient in Microsoft Office 365; experience with systems such as SAP, JIRA, and document management tools is advantageous.
  • Familiarity with regulatory compliance and risk systems is beneficial.
  • Experience with Power BI is a plus.
  • 4–6 years of administrative or executive support experience in a large organisation, ideally within the oil and gas sector.
