Position Description
The Project Expeditor ensures that all purchased materials, equipment, and documentation required for our capital projects are delivered on time, in the correct sequence, and in compliance with quality specifications. Acting as the liaison between Supply Chain, Project Management, Engineering, Logistics, and external vendors, the Expeditor protects the project’s critical path, mitigates schedule risk, and drives measurable improvements to On-Time-Delivery (OTD) and cost performance.

Position Description
The Project Expeditor ensures that all purchased materials, equipment, and documentation required for our capital projects are delivered on time, in the correct sequence, and in compliance with quality specifications. Acting as the liaison between Supply Chain, Project Management, Engineering, Logistics, and external vendors, the Expeditor protects the project’s critical path, mitigates schedule risk, and drives measurable improvements to On-Time-Delivery (OTD) and cost performance.
Responsibilities
- Monitor and track supplier progress to ensure delivery milestones are met in accordance with purchase order terms and project schedules
- Provide consistent updates and insights to project teams on supplier status, identifying potential delays or risks and offering viable solutions when needed.
- Liaise regularly with suppliers to clarify requirements, confirm compliance, and encourage proactive issue resolution
- Gather and analyze supplier data to assess performance and compliance with agreed timelines, location requirements, and quality specifications
- Coordinate with internal teams including engineering, procurement, and logistics to resolve any issues impacting schedule adherence
- Issue weekly look-ahead reports and recovery plans for variances > 2 days
- Hold kick-off meetings to confirm capacity, critical path activities, and documentation deliverables.
- Escalate systemic delays to Project and Supply Chain leadership with root-cause analysis.
- Maintain an expedite risk register and lead “plan-B” actions (alternate sourcing, air-freight, split shipments).
- Evaluate supplier change requests for schedule impact; obtain approvals and update baselines
- Publish weekly KPI dashboard (OTD %, average days late/early, open actions) to stakeholders
- Support monthly project reviews and lessons-learned close-outs.
Required Qualifications
- Bachelor’s degree in Business, Supply Chain, or related field
- 10+ years of expediting capital equipment —preferably within EPC, oil & gas, petrochemical, or geothermal industries
- Ability to read purchase orders, technical drawings, ITPs, and manufacturing schedules
- Strong supply chain background with the ability to interact with internal and external customers and suppliers
- Excellent networking and communication skills complemented by the ability to develop and sustain strategic relationships
- Self-starter with a track record of strategic initiative development and management
- Ability to influence suppliers and internal teams without formal authority.
