Title:    Senior Shipping and Receiving Specialist

Summary: The Senior Shipping and Receiving Specialist is responsible for handling all inbound and outbound shipments with a strong focus on visual quality control, documentation accuracy, and timely system entry. This role is critical to maintaining inventory integrity, supporting operations of our repair facility, and ensuring compliance with internal and external standards. The ideal candidate is detail-oriented, independent, experienced in SAP Material Management and Logistics transactions, and committed to continuous improvement.

Key Job Responsibilities: Receiving
  • Receive and unload incoming shipments and compare materials against purchase orders, sales orders, authorization reference, and packing slips.
  • Perform visual inspections to identify damage, defects, or incorrect quantities; escalate issues to Procurement or Supplier Quality, or other stakeholders as specified. Involve Supplier Quality and other stakeholders, as needed, for required inspections beyond the initial visual inspection. Notify Procurement, Supplier Quality, and other stakeholders promptly in the event of non-conforming or damaged shipments.
  • Record incoming shipments accurately and promptly in the Receiving Log. Enter goods receipts for conforming materials against purchase orders in SAP within 24 hours. Ensure documentation (packing lists, delivery slips, photos of incoming shipments) is attached and traceable.
  • Maintain receiving logs and reconcile daily with open purchase orders.
  • Label and deliver materials to correct work areas in a timely manner.
Shipping
  • Prepare shipments for outbound delivery, ensuring proper packing, labeling, and documentation.
  • Select shipping method based on cost, speed, and reliability; or as directed by the Logistics coordinators, and arrange courier pick-ups as needed.
  • Ensure all outbound shipments have the required documentation, e.g. commercial invoices, packing lists, bills of lading, and shipping labels and confirm that they comply with export control and government regulations.
  • Safely operate forklift, pallet jacks, and overhead crane to handle materials and crate shipments. Monitor rigging and lifting activities of shop personnel for delicate materials (e.g. compressor and turbine rotors).
Documentation & Compliance
  • Maintain organized records of all shipping and receiving transactions.
  • Ensure all materials are received and shipped with appropriate documentation, including COCs, MSDS, and customs forms.
  • Investigate and resolve shipping or receiving discrepancies in collaboration with Procurement, Supplier Quality, and Accounting.
Inventory & ERP Management
  • Perform accurate and timely entries in SAP and SharePoint for goods receipts and shipments.
  • Reconcile physical receipts with system records; report anomalies immediately.
  • Support month-end inventory reporting and cycle counting activities.
  • Assist with root cause analysis of recurring receiving or shipment issues.
Facility & Process Leadership
  • Lead 5S and cleanliness efforts in the receiving and shipping areas.
  • Participate in or lead continuous improvement projects related to logistics and material flow.
  • Support Supply Chain department during peak periods or special projects.

Required Education and Experience:
  • High school diploma or equivalent required; vocational or technical training in logistics preferred.
  • Minimum 5-7 years of experience in a shipping/receiving role, ideally in a repair or industrial manufacturing environment.
  • Experience with SAP for materials management and logistics transactions.
Skills & Qualifications
  • Strong attention to detail and documentation accuracy.
  • Knowledge of shipping methods (UPS, FedEx, LTL, international).
  • Ability to read and interpret technical documents, packing slips, and engineering drawings.
  • Proficient with SAP and MS 365 (Word, Excel, Outlook, SharePoint).
  • Forklift and overhead crane certification required.
  • Strong communication skills (written and verbal).
  • Ability to lift up to 50 lbs and work in a warehouse/shop environment with varying temperatures and noise.
