Site Time Focal (Site Admin)

As a Site Time Focal, you will be the go-to person for managing payroll and providing administrative support to the Asset Teams. Your role ensures accurate and timely timekeeping, supports employee inquiries, and helps streamline office operations. Key Responsibilities
Payroll Management
  • Accurately enter and manage time records in Workday (e.g., overtime, absences, shift changes).
  • Serve as a subject matter expert in both Workday and SchedulePro (used for scheduling and timekeeping).
  • Ensure compliance with Hourly Payroll Practices and the Collective Bargaining Agreement.
  • Provide support on payroll inquiries, working with the Hourly Time Focal and HR Service Desk as needed.
  • Audit time entries regularly to meet HR standards.
  • Assist with year-end reconciliations and ensure proper quota balances and entitlements are updated in Q1.
  • Maintain confidential payroll documentation in line with company policy.
  • Generate various reports such as:
    • Monthly overtime summaries
    • Quarterly absence data
    • Year-end sickness reports
  • Support and coach Production Team Members (PTMs) and Team Leads on timekeeping practices.
  • Train new hourly and staff employees on pay practices and time entry.
Administrative Support
  • Manage office tasks: ordering supplies, scheduling meetings, handling expenses.
  • Act as SharePoint Site Owner and Records Management Focal for the Asset Team.
  • Support ad-hoc projects as needed for Production.
  • Provide backup support for other Time Focals when necessary.
Requirements
  • Legal authorization to work in Canada full-time (excluding current employer sponsorship).
  • Minimum 3 years of experience in a similar role.
  • Preferred education: Business Administration or Office Administration Certificate.
  • Skilled in Microsoft Office (Word, Excel, Outlook, PowerPoint) and experience with Workday and SharePoint is an asset.
  • Ability to manage multiple priorities and meet tight deadlines.
  • Strong attention to detail and understanding of complex pay policies.
  • Excellent communication skills and ability to work with employees at all levels.
  • Maintains discretion when handling sensitive information.
